Product Photography: Shipping & Packaging

Logistics Guide Reading time: 5 minutes

Sending your products to a professional studio requires more than just a cardboard box. To achieve the high-end results expected from our Edmonton facility, your items must arrive pristine, without scratches, dust, or structural damage. This guide outlines the precise steps to prepare your inventory for transit.

Why Packaging Matters for Commercial Photography

In product photography, the smallest imperfection—a hairline scratch, a smudge of oil, or a dented corner—can lead to hours of additional retouching or, in worst cases, the need for a replacement sample. When items travel through the Canadian postal system or private couriers, they are subject to vibrations, temperature shifts, and rough handling.

At Rhetoricbyte, we handle every item with professional care, but the safety of your product begins at your warehouse. Proper packaging ensures that the "as-is" condition of your product is preserved from the moment it leaves your hands until it reaches our studio on Jasper Avenue.

Preparing the Surface of Your Items

Before wrapping, ensure your products are clean. However, we recommend avoiding heavy polishing with abrasive chemicals right before packing, as some residues can create unwanted streaks under our Profoto lighting. Use a microfiber cloth to remove loose dust.

For items with reflective surfaces, such as jewelry or polished metal, we suggest wrapping them in acid-free tissue paper. This prevents the packaging material itself from leaving micro-scratches on the surface during transit. Avoid using bubble wrap directly against polished surfaces, as the plastic texture can sometimes leave imprints on soft metals or resins.

The Layering Method for Maximum Safety

We recommend a three-layer approach to packaging for all shipments coming to our Edmonton studio:

  • Primary Layer: Acid-free tissue paper or soft cotton cloth to protect the finish.
  • Secondary Layer: Bubble wrap or molded foam inserts to immobilize the item. The product should not move when the box is shaken.
  • Tertiary Layer: A heavy-duty, double-walled corrugated cardboard box.

If you are sending a collection of items, do not pack them together in one compartment. Use dividers or individual boxes to prevent items from colliding with one another.

Product Type Recommended Inner Wrap Critical Warning
Glass/Ceramics Thick bubble wrap + foam peanuts Avoid direct contact with box walls
Textiles/Apparel Poly-bags or acid-free paper Prevent moisture/humidity buildup
Electronics/Metal Anti-static foam or tissue No abrasive materials on screens
Small Jewelry Padded jewelry boxes + outer box Ensure secure closure of the case

Shipping Logistics in Edmonton and Alberta

For clients based within Alberta, we recommend using reliable couriers such as Canada Post or local Edmonton delivery services for shorter distances. When shipping from other provinces, ensure you use a tracked service. This allows both parties to monitor the arrival and ensures that the items are not left unattended in outdoor conditions, which can be extreme in the Canadian climate.

All shipments should be addressed clearly to our downtown location. Please include a packing slip inside the box that lists every item sent, their intended use (e.g., "Main Catalog Shot" or "Detail Shot"), and a return shipping label if you require the items to be sent back after the session.

The Product Inventory Checklist

Before sealing your box, go through this final checklist to avoid delays in the production process:

  • [ ] All items are cleaned and free of fingerprints.
  • [ ] Fragile items are wrapped in at least 3cm of cushioning.
  • [ ] A detailed packing list is included inside the box.
  • [ ] The box is sealed with high-quality packing tape on all seams.
  • [ ] Return address and contact phone number are clearly visible.
  • [ ] A digital copy of the packing list has been emailed to [email protected].

Handling the Return Process

Once the photography session is complete, we can return your items via your provided prepaid label or arrange a courier pickup. We recommend that you provide the return packaging if the items require specialized containers that cannot be reused from the initial shipment. We store items for a limited time, so please coordinate the pickup promptly after the delivery of your final images.

If you have specific questions about a complex product, please contact our team to discuss custom packaging solutions.
